Implementation of public defence at the Institute of Basic Medical Sciences

The institute would like to help facilitate to make the public defence a positive experience for both candidate and evaluation committee.

Information about public defence relevant for all PhD candidates at the Faculty of Medicine can be found under trial lecture and public defence.

Below you will find information that only applies to public defence held at IMB.

The candidate’s tasks

Venues

  • Book a venue for the trial lecture and public defence by contacting the correct person in charge of booking. 
    • Contact Hilde Beate Liudalen for booking the auditorium and rooms for the committee at Domus Medica. Runde auditorium R-105 (GA21R-105) and Auditorium 13 (GA012015) at Domus Medica are suitable for the defence.
    • Contact Oxana Rødnes for booking rooms at Rikshospitalet.
    • For booking at Gamle Festsal, send an e-mail to booking-sentrum@admin.uio.no
  • Please inform the Research education team about the booked venues.
  • Arrange for technical assistance
    • Trond Farestveit Erstad is the technical manager for the auditoriums and is the right person to contact for training in the use of AV equipment and for testing the equipment prior to the defence. 

The committee’s tasks

Travel and accomodation

  • The committee members are responsible for booking their own travel and accomodation for the defense. They are also responsible for getting reimbursed by submitting a reimbursement form along with original receipts to the institute, to Hilde Beate Liudalen.
    • Questions regarding completion of the fee and reimbursement forms should be directed to Hilde Beate Liudalen.

Evaluation and fees

  • Hilde Beate Liudalen will contact the committee regarding payment of fees. The committee members must return their completed forms regarding fees to Hilde Beate Liudalen. The fee is determined by the faculty. 

The supervisor’s tasks

Committee dinner

  • The supervisor arranges the dinner and informs the committee about the time and place. 
  • The supervisor makes a reservation at the restaurant and obtains written approval for the use of representation allowance on the pre-approval form (in Norwegian) which is sent via e-mail to the finance section manager
  • The requisitioner/purchaser creates an order to the restaurant on behalf of the supervisor. The restaurant sends an invoice to UiO based on the order. The cost of the committee dinner is covered by the supervisor/research group. 
  • Please note that according to the guidelines for hosting and representation, tips cannot be added to the bill. 
  • If supervisor(s) attend the dinner, the defense cannot be planned, nor can the candidate's work be discussed during the dinner. 

The institute’s tasks

Venues

  • The institute assists in booking venues for trial lecture and public defence. The candidate must contact the person in charge of room booking directly.
  • The institute assists with practical tasks related to trial lecture and public defence and makes sure the auditorium looks presentable. 

Flowers and gifts

  • Hilde Beate Liudalen orders flowers for the candidate from the institute and department. As a gesture of appreciation from the faculty, the candidate receives a gift with greetings from the dean.  

Dean’s robe

  • The institute has a Dean’s robe available at Domus Medica. The robe should be left in the Auditorium when the defence is over. 
  • There are also robes available for the Faculty of Medicine at Rikshospitalet and Gamle Festsal.
